JOB SUMMARY:

Reporting administratively to the Director of Diagnostic Services, the Coordinator is responsible for the administration of all information processing activities of the Imaging Department and its various sites, in accordance with administrative policies of the Hospital and established standards. Diagnostic Imaging Clerks report to this position.  The position also entails other areas of responsibility for the department’s clerical staff.  These areas include, but are not limited to, hiring, performance appraisals, scheduling and budgeting. May be delegated specific areas of additional responsibility within the portfolio.

 DIRECT REPORTS:

RESPONSIBILITIES:

  • Assist the Director in developing long and short-term goals and objectives for clerical areas and the department’s Information Handling Systems.
  • Assume responsibility for developing plans and initiating procedures concerning clerical staffing, scheduling, education, systems analysis, personnel development and hiring in designated areas of the department.
  • Assist the Director with preparation and follow-up of capital expenditures, operating and personnel budgets.
  • Assume responsibility (in designated areas) for cost control and operating expenditures.
  • Maintain effective communications between the clerical staff.
  • Providing guidance, support and direction in all performance activities.
  • Coaching staff towards a culture that promotes collaboration, open sharing of information and expertise, and linking of activity for organizational effectiveness.
  • Providing team leadership and developing strategies to support team approaches to the development of effective systems and processes.
  • Facilitating the learning of all team members.
  • Participating in the recruitment and selection of new staff for the team based on an assessment of organizational needs.
  • Participating in the ongoing and regular performance evaluation for staff in keeping with the Corporate Performance Development System.
  • Participating in ongoing and regular process review and redesign to maintain/improve the efficiency of the service.
  • Participating in quality improvement activities.
  • Ensuring courteous and timely attention to all patient/family/client requests.
  • Ensuring effective utilization of team staff, equipment and materials.
  • Ensuring adherence to department/corporate policies, accreditation standards, legislative requirements and Ministry of Health reporting requirements.
  • Participating in the development/monitoring of operating budgets.
  • Any other duties that may be assigned.

 

 QUALIFICATIONS:

  • College Diploma or relevant certificate in an administrative/clerical program or healthcare related field required.
  • Minimum 2 years’ relevant clerical experience in a Diagnostic Imaging department.
  • Minimum 2 years’ experience in a supervisory role, preferably in a healthcare
  • Demonstrated knowledge of Medical Terminology specifically relating to Diagnostic Imaging.
  • Experience in budget preparation, planning, organizing and personnel management in a unionized environment preferred.
  • Experience in scheduling, payroll and day to day issue resolution within clerical environment preferred.
  • Advanced level skills in Microsoft Office Suite programs
  • Excellent interpersonal and communication skills, both written and verbal skills.
  • Excellent organizational and time management skills.
  • Commitment to customer service.
  • French Language proficiency an asset.
